The United Nations Support Office in Haiti (UNSOH) intends to establish a contractual arrangement for the rental of armored sport utility vehicles (SUVs) on an as-and-when-required basis. The requirement is expected to be for an initial period of one (1) year, with the possibility of extension for two additional one-year periods (1 + 1), subject to operational requirements and the best interests of UNSOH. The services shall support UNSOH operations in Haiti, with required coverage in the Artibonite Department Coverage of the Artibonite and Nord Department is anticipated. The vehicles shall be provided on a self-drive basis, with free mileage. Fuel will be provided by UNSOH. Vehicle usage may vary frequently depending on operational needs and shall therefore be billed according to actual usage, such as daily, weekly and monthly rates as applicable. Specific Requirements/Information • Vehicle type: armored medium-duty SUV, 4x4, manufactured after 2020, automatic transmission and diesel engine. • Quantity: unlimited, on an as-and-when-required basis, depending on UNSOH operational requirements. • Vehicles must be armored and equipped with relevant fire and safety equipment, spare tire, jack and related tools. • Vehicles must have standard Haitian number plates and be free from visible company identification, logos or unusual markings. • Vehicles must be left-hand drive, fully air-conditioned, with seating capacity for five people plus ample luggage and equipment space. • Preferred colors are neutral colors commonly used in Haiti, including white, grey, dark grey, silver grey, dark brown, dark blue or dark green. • The contractor must confirm in writing the driving licence requirements and insurance-related regulations applicable for UNSOH staff to be covered by Haitian insurance. • All vehicles must be covered by full comprehensive insurance, with insurance coverage details to be provided for evaluation. • The contractor must provide 24/7 service, including confirmation of recovery service availability within the proposed area of operation in case of breakdown, accident or incident. • Advance notice of at least 24 hours shall be provided by UNSOH for vehicle requirements. • Vehicles shall be delivered to UNSOH offices within the proposed area of operation or as otherwise instructed by UNSOH; the contractor shall also collect vehicles upon return. • Same-day replacement is required if a vehicle becomes unserviceable due to breakdown or accident. • The contractor shall be responsible for preventive maintenance, servicing, regular maintenance and repairs in accordance with manufacturer specifications. • The contractor shall ensure vehicles are clean and have full fuel tanks upon delivery. UNSOH shall return vehicles in similar condition. • Vendors should be able to provide vehicle ownership certification and invoices on company letterhead in English, referencing the relevant Purchase Order or Contract Number and accompanied by signed Vehicle Request Forms.
